IT that protects your law firm's confidentiality, deadlines & reputation

Smartweb keeps the systems law firms run on — practice management, document management, court e-filing, time and billing, and the privileged client data behind them — secure, confidential, and available. Premium IT support and the security your ethical obligations demand, one predictable monthly bill, for less than the big national providers charge.

The profession today

For a law firm, technology failure is now an ethics problem

A modern practice runs on technology end to end: practice management, document management, court e-filing, time and billing, legal research, and the mailboxes and portals through which privileged communications flow. When any of it fails, you don't just lose productivity — you risk a missed deadline, a disclosed confidence, and a sanction.

Law firms have become one of the most-attacked targets anywhere. More than 200 ransomware and extortion incidents struck firms between 2025 and early 2026, with named groups specifically hunting legal targets and the average breach now costing firms over $5 million. At the same time, ABA Model Rule 1.6 and state ethics rules require lawyers to take competent, reasonable measures to protect client information — and clients increasingly audit your security before they'll sign an engagement.

Smartweb works with solo practitioners, boutique firms, and mid-size practices across litigation, corporate, real estate, trusts and estates, and IP to keep the whole environment secure, confidential, and monitored under the model the rest of our business is built on: one plan, one source, one monthly bill — and meaningfully less than the national IT firms charge for the same work.

The challenges

The IT problems law firms keep running into

These are the issues we're called in to fix most often across solo, boutique, and mid-size firms. Each one has a direct line to a breached confidence, a missed deadline, or an ethics exposure.

Client confidentiality and privilege at risk

ABA Rule 1.6 and state ethics rules require competent, reasonable measures to protect client information. A breach doesn't just expose data — it can waive privilege, trigger a bar complaint, and undermine the trust your practice is built on.

Ransomware and extortion aimed at law firms

Attackers see firms as ideal targets: sensitive case files, deadline pressure, and a strong incentive to pay to keep matters confidential. Named ransomware and data-extortion groups have run coordinated campaigns against legal targets, and the average firm breach now costs millions.

Document management and version control chaos

Across dozens of matters, the wrong document version, a lost file, or an inconsistent naming scheme creates real legal risk. Without a properly managed DMS and reliable storage, your most valuable work product is one mistake away from a problem.

Court e-filing deadlines that can't slip

NYSCEF and federal PACER/CM-ECF filings run on hard, court-imposed deadlines. An internet outage, a frozen workstation, or a failed scan minutes before a cutoff can mean a blown filing — and a conversation with a judge no attorney wants to have.

Hybrid attorneys needing secure access

Attorneys and staff work from court, home, and the road, often on personal devices. Without managed, encrypted access and clear policies, every off-network login to a matter file is a potential confidentiality gap and a question a client's auditors will ask.

Client security audits and outside-counsel guidelines

Corporate and institutional clients now send security questionnaires and outside-counsel guidelines that dictate how you must protect their data. Without a documented program, those reviews stall engagements — or cost you the matter entirely.

Why it matters

What the right IT partner does for your firm

In a profession defined by confidentiality and deadlines, secure and reliable technology isn't overhead — it's what protects your clients, your license, and the reputation that brings the next matter through the door.

Protect privilege and confidentiality

Layered security keeps privileged communications and case files out of attackers' hands — avoiding the disclosures, waivers, and bar exposure that follow a breach and that competent, reasonable safeguards are meant to prevent.

Premium support, lower total cost

Get senior-engineer service and enterprise-grade security tooling for less than the big national IT firms charge — one consolidated bill replaces a stack of vendors, surprise project fees, and an in-house hire you don't need.

Never miss a filing deadline

Proactive monitoring, reliable connectivity, and tested recovery keep e-filing, documents, and email online when the clock is running — so a technical failure never becomes a missed deadline or a sanction.

Win and keep demanding clients

A documented security posture lets you pass corporate clients' audits and meet outside-counsel guidelines — turning IT from an obstacle into a credential that helps you win and retain sophisticated work.

Common questions

Law firm IT — FAQ

Do you support our practice management and document management systems?

Yes. We manage the infrastructure, security, connectivity, and backups that Clio, PracticePanther, MyCase, Smokeball, NetDocuments, iManage, and your other platforms rely on, and we coordinate directly with your software vendors when an application-level issue comes up — so one team is accountable for keeping your whole stack online and secure.

How do you help us meet our duty of confidentiality under Rule 1.6?

We implement the competent, reasonable safeguards the rules expect — encryption, multi-factor authentication, access controls limiting who can reach each matter, monitoring, secure backups, and an incident response plan — and we document them. That gives you both the protection your clients are entitled to and the evidence you've taken reasonable measures if you're ever asked.

Why are law firms targeted by ransomware, and how do you reduce the risk?

Firms hold sensitive case files and confidential client information, face deadline pressure, and have strong reasons to keep an incident quiet — which is exactly why attackers target them, sometimes in coordinated campaigns. We reduce the risk with layered security, MFA, staff phishing training, network segmentation, and immutable backups, so an attack is far less likely to succeed and far easier to recover from without paying.

Can you help us respond to client security audits and outside-counsel guidelines?

Yes. We maintain the documented security program corporate clients expect and help you complete their questionnaires and meet outside-counsel guidelines with accurate, evidence-backed answers. Instead of scrambling each time a client's review lands, you have the controls and documentation ready — which keeps engagements moving and helps you win sophisticated work.

How can you offer premium IT support for less than the national providers?

Because you're not paying for their overhead. With Smartweb you get senior engineers, enterprise-grade security and monitoring tools, and one consolidated monthly bill — instead of a national firm's tiered call centers, per-ticket upcharges, and surprise project fees. Most law-firm clients we take on were overpaying a large provider for slower, less personal service; we deliver the same enterprise-grade coverage at a noticeably lower total cost.

Do you provide on-site support across New York City and Long Island?

We do. Most issues are resolved remotely the same day through our help desk, and we dispatch engineers on-site across New York City and Nassau and Suffolk County whenever hands-on work is needed at your office. Our Virtual CIO and disaster-recovery services are also available to firms with locations beyond the metro area.
